Why a repository is now a compliance control
Three instruments make the document store part of the compliance programme. Under the Digital Personal Data Protection Act, 2023, section 8 makes the data fiduciary responsible for processing done on its behalf regardless of any agreement, and the Digital Personal Data Protection Rules, 2025, notified on 13 November 2025, require a breach to be reported to the Data Protection Board within 72 hours, with the substantive rules on security, retention and erasure in force from 13 May 2027; a repository with access logs, retention schedules and erasure on schedule is how those duties are evidenced. The CERT-In directions of 28 April 2022 require listed cyber incidents to be reported within six hours and ICT logs to be kept for a rolling 180 days within India. And until the DPDP rules commence, section 43A of the Information Technology Act, 2000 and the 2011 rules on sensitive personal data treat an implemented and audited ISO/IEC 27001 system as reasonable security practice, which is why customers and auditors ask where documents live and who can open them.
Versioning, Word and signature in one place
A document checked out for editing opens as the real .docx in Word Online or desktop Word; the repository keeps every version, who changed it and when, and the executed copy is stored with its e-signature and e-stamp evidence. Nothing is converted to PDF to be stored, so the negotiated file and the signed file are the same lineage.
Retention, legal hold and audit
Retention schedules apply by document type and entity, review cycles bring documents back to an owner before they lapse, and a legal hold freezes a set of documents against deletion with an acknowledgement trail. Every view, download, share and edit is logged and exportable, which is the evidence an auditor, a regulator or a court asks for.
Migration without a project team
Shared drives, legacy DMS exports and scanned archives are uploaded in bulk; AI classifies and extracts metadata as files arrive, and duplicates and expired versions are flagged for review.
