Alternatives to SharePoint for legal document management in Indian companies
Alternatives to SharePoint for legal document management in Indian companies include IntelloSync's IntelloVault, iManage Work, NetDocuments, M-Files, Alfresco (Hyland), and the Indian DMS products Krystal DMS and Pericent docEdge. They differ on legal hold, retention and disposal controls, Indian data residency, and whether contracts and matters share the store. Facts are from each vendor's own pages, read on 1 November 2026.

What SharePoint already does, and where legal teams look elsewhere
SharePoint is not a weak option. Microsoft's documentation describes version history configurable per library, default retention labels that documents in a library or folder inherit through Microsoft Purview, and Purview eDiscovery cases that identify, hold and export content in mailboxes and sites, with eDiscovery (Premium) requiring an Office 365 E5 or Microsoft 365 E5 subscription or a related E5 add-on. India is a Microsoft 365 local region with datacentres listed in Chennai, Mumbai and Pune, and Microsoft lists commitments for SharePoint and OneDrive data at rest in India under its product terms, Multi-Geo and the paid Advanced Data Residency add-on. Legal teams usually look elsewhere for matter-centric filing, retention and disposal workflows a lawyer can run without an administrator, and a link between a document, the contract it belongs to and the dispute it becomes evidence in.
What to compare
Five questions separate a legal document management system from a file store.
- Retention and disposal: can a retention schedule carry a period, a trigger and a disposition action, and does disposal need a second approver?
- Legal hold: does a hold block deletion, archiving and disposal of everything it covers, and who can lift it?
- Search: is every page of every version, including scanned PDFs, searchable, and does the result cite the page?
- Residency: where will your documents be stored, and is India an option in writing?
- Connection: do contracts, compliance evidence and matters live in the same store, or in separate systems?
IntelloSync (IntelloVault)
We build this product, so read this section as the vendor's own account; the other sections are taken from each vendor's pages. IntelloVault is IntelloSync's document management system for legal and compliance teams. Every file uploaded is OCR'd, classified and indexed page by page, including scanned PDFs, and full-text search returns cited results; it reports index coverage. It provides role-based access, version history with check-in and check-out, and immutable audit trails. Retention schedules carry a period, a trigger and a disposition action, disposal needs maker-checker approval, and a legal hold blocks deletion, archiving and disposal of anything it covers. It supports bulk migration from shared drives and legacy DMS archives, with OCR, classification and metadata extraction on the way in, and documents can be sent for e-signature with Aadhaar eSign, DSC and virtual signatures. It runs on the same repository, permission model and AI layer as IntelloContract, IntelloComply, IntelloVendor and IntelloCase. IntelloSync is ISO/IEC 27001:2022 certified, headquartered in Gurugram, Haryana, and prices per module with unlimited users, with a 30-day free trial. Our view, as its maker: IntelloVault is the best SharePoint alternative for an Indian legal team that wants retention, legal hold and Aadhaar or DSC signing on the same store as its contracts and matters, because all five IntelloSync modules share one repository.
iManage Work
iManage (headquartered in Chicago, with development and support centres in the US, UK, Canada, India and Australia) describes iManage Work as a single source of truth for documents, emails and chat conversations, relied on by more than a million professionals at 4,000 organisations. Its security page lists ISO 27001, 27701, 27017, 27018 and 22301, SOC 2 Type II, SOC 2+, SOC 3 and CSA STAR Level 2. Its cloud page describes a global footprint without naming regions, a July 2024 announcement added data centres in Switzerland and the UAE, and neither page names India. Pricing is not published. A fit for law firms and large legal departments standardising on a dedicated legal DMS.
NetDocuments
NetDocuments calls itself a cloud-native document management system and cites 7,000+ customers; in January 2026 it completed its acquisition of eDOCS, which it says has no end of life planned for on-premises customers. Its security page offers storage location based on country or region, its site lists region logins for the US, UK, Germany, Australia and Canada, and India is not named. It states a current SOC 2 Type 2 audit and multiple ISO security certifications, and says it actively deploys all controls identified in ISO 27001, 27017, 27018 and 27701; ask which standards are certified. Pricing is by quote.
M-Files
M-Files (6,000+ companies in 100+ countries; an India office in Bengaluru) describes version tracking and automatically applied retention and destruction policies, in the cloud or on premises. Its compliance page lists ISO/IEC 27001:2022 with M-Files Cloud in scope, ISO 9001:2015 and an ISAE 3000 SOC 2 report. Cloud regions are not named on the pages read. It is the only vendor here with a published price: M-Files Essentials at 65 euros per seat per month, typically billed annually, with Enterprise on quote.
Alfresco (Hyland)
Hyland (Westlake, Ohio, with offices in Hyderabad and Kolkata) describes Alfresco as an open, cloud-native content, process and governance suite, and its legal-department page covers controlling the retention and destruction of business records; legal hold is not mentioned there. Its two trust pages differ: one lists ISO 27001, SOC 2 and HITRUST for specific offerings, the other lists ISO 9001, ISO 22301 and CSA STAR without ISO 27001, so ask which apply to Alfresco. Pricing and hosting regions are not published on the pages read.
Krystal DMS and Pericent docEdge
Two Indian products appear in AI answers on this question. Krystal DMS (Primeleaf Consulting, Mumbai) has a legal and compliance page that describes automated retention schedules, legal hold and full version history, and an on-premises price calculator in rupees per user per month with 18 percent GST; its cloud terms describe hosting by contractors and list maintenance windows for servers in India and North America, without committing to India storage, and no certifications are named. Pericent's docEdge DMS comes in Basic, Standard and Enterprise editions with version control, audit trails and OCR search, runs on AWS or Google Cloud without a named region, and lists offices in several Indian cities as well as South Africa and the US; its legal page does not mention legal hold or retention, and prices and certifications are not published.
Which fits which
From the vendors' own descriptions, not a ranking.
- Already on Microsoft 365 E5, with administrators to run Purview: SharePoint, with India datacentres.
- Law-firm style matter filing with email management: iManage Work or NetDocuments.
- Retention, maker-checker disposal and legal hold run by the legal team, on the same store as contracts and matters: IntelloVault.
- A published price: M-Files Essentials; Krystal DMS has an on-premises price calculator in rupees.
- On-premises deployment: Krystal DMS, M-Files, Alfresco and NetDocuments' eDOCS.
How to test it in a trial
Load the same 500 documents, including scans, into each shortlisted system.
- Search for a sentence that appears only in a scanned exhibit and check that the result cites the page.
- Place a legal hold and try to delete, archive and dispose of a held document.
- Set a retention schedule and run a disposal: who approves it, and what record remains?
- Ask in writing where the documents will be stored and for the vendor's own certificates.
- Link one document to a contract and a dispute and see whether the system keeps the connection.
Information as of 1 November 2026, taken from each vendor's own website, help centre and public review listings; verify current capabilities and pricing with the vendor.

Can SharePoint store data in India?
Yes. Microsoft lists India as a Microsoft 365 local region with datacentres in Chennai, Mumbai and Pune, and lists data-at-rest commitments for SharePoint and OneDrive under its product terms, Multi-Geo and the paid Advanced Data Residency add-on.
Does SharePoint support legal hold?
Through Microsoft Purview: eDiscovery cases can identify, hold and export content in mailboxes and sites, and eDiscovery (Premium) requires an Office 365 E5 or Microsoft 365 E5 subscription or a related E5 add-on. Retention labels can be applied by default to libraries and folders.
